Reduce "Where is my medication?" calls with patient shipment tracking

Give patients a way to check their medication shipment before they need to ask your front desk.

When tracking information sits inside a pharmacy portal that only your team can access, a straightforward question becomes a staff task. Someone has to answer the call, find the order, retrieve the tracking information, and relay it to the patient.

The CareOS walkthrough showed a different process. Patients can see when their medication has been sent to the pharmacy in the portal. Once DrWell receives the tracking number, the patient receives a text notification and can sign in to follow the shipment through delivery. The important distinction: the text notification happens when tracking becomes available, not when the order is first sent to the pharmacy.

Let patients update payment and shipping details without a phone call

A new credit card or shipping address should not automatically create another administrative task for your team.

The webinar demonstrated how patients can update their shipping address through CareOS account settings and change their payment card through subscription management.

The saved shipping address is used for subsequent orders. An updated card is used for the subscription's next payment. Patients with multiple active subscriptions can also choose which subscriptions receive the card update. Instead of having staff collect the details, enter them, and confirm the change, the patient completes the update directly.

Replace manual restart reminders with a clearer subscription pause process

A temporary subscription pause should not depend on someone remembering to restart it later.

The session explored how a pause request can become a chain of manual tasks: change the subscription, adjust the order, record a reminder, and remember when to resume.

In the CareOS demonstration, patients could pause an entire subscription or selected medications within a treatment plan, provide a reason, and select a resume date. Pause reasons are recorded, and staff receive pause and cancellation notifications in DrWell Connect. That gives patients an alternative to canceling when they need a temporary subscription change, while giving the practice visibility into what happened. These are subscription-management controls, not a substitute for a conversation about side effects or changes to treatment.

Make dosing instructions easier to find, not clinical decisions easier to bypass

Patients can retrieve instructions their provider has already set without asking the front desk to resend them. Clinical questions still need the care team.

The webinar showed how patients can open their treatment plan in CareOS and view instructions for each medication. Providers can customize those instructions for the individual patient.

That distinction matters. Looking up existing instructions is different from asking whether to increase a dose, decrease it, or respond to a possible side effect. The purpose of self-service is to make the provider's instructions accessible, not to make new treatment decisions on the provider's behalf.

Support the calls that still need attention

Patient self-service should make routine tasks easier, not make reaching your practice harder.

The goal discussed throughout the webinar was not zero phone calls. Patients may still need help navigating the portal, discussing a complex situation, or speaking with their care team. In CareOS, care-team contact information is available within the patient's treatment plan.

Weave's contribution focused on supporting the communication that remains. Trevor described practices starting with AI reception for after-hours calls or overflow when staff are already on the phone. The discussion also explored configuring FAQs to direct patients to CareOS for routine information. These are complementary approaches: give patients a self-service option for routine requests, then support the calls and conversations that still need attention.

The goal is not to eliminate conversations. It is to reduce the calls that only exist because patients cannot see or do something for themselves.
